The DLF part of The Shaw Trust is committed to protecting your personal data and also to ensuring that your rights to privacy are protected.
In order to be open and transparent, DLF/Shaw Trust wants you to know that:
1) DLF/Shaw Trust is the Data Controller of the information you supply.
2) DLF/Shaw Trust has a Data Protection Officer, and contact details for this person may be obtained by writing to the Data Protection Mailbox (data.protectionmailbox@shaw-trust.org.uk).
3) How and when we collect information about you:
When you directly give us information
We may collect and store information about you when you interact with us. For example, this could be when you:
- phone or email our help and advice line
- submit an enquiry online, by email or by post
- tell us your story
- give us feedback
- make a complaint
- support our work through a donation or an advocacy campaign
- fundraise on our behalf
- register for or attend an event
- direct message us on our social media channels
- register to our specialist online platforms
- participate in our training
- use our applications to access our information and advice
- apply for a job
- apply to volunteer
- enter into a contract with us
When you indirectly give us information
- When you interact with us on social media platforms such as Facebook, Instagram, Twitter or LinkedIn we may also obtain some personal information about you. The information we receive will depend on the privacy preferences you have set on each platform and the privacy policies of each platform. To change your settings on these platforms, please refer to their privacy policies.
- We may obtain information about your visit to our site, for example the pages you visit and how you navigate the site, by using cookies. Please visit our [cookies] policy for information on this.
What information we might collect
- When you engage with us directly by phone, mail, in person or online, we may collect information about you (referred to in this Privacy Notice as 'personal information'). This may include your name, address, email address, telephone number, date of birth, social media handle, job title and details of your education and career, why you are interested in DLF and Living Made Easy, and other information relating to you personally which you may choose to provide to us.
- Data protection law recognises that certain types of personal information are more sensitive. This is known as 'sensitive' or 'special category' personal information and covers information revealing racial or ethnic origin, religious or philosophical beliefs and political opinions, trade union membership, genetic or biometric data, information concerning health or data concerning a person's sex life or sexual orientation.
- Sensitive information will only be collected where necessary, for example, we may collect health information from you when you call our helpline. Clear notices will be provided at the time we collect this information.
- With your explicit consent, we may also collect sensitive personal information if you choose to tell us about your experiences relating to your caring experience for use in a case study.
If you're 16 or under
- If you're aged 16 or under, you must get your parent/guardian’s permission before you provide any personal information to us.
4) Why we collect information on you
The information is collected and will be processed to enable DLF/Shaw Trust to provide you with the appropriate guidance, support or services that you are seeking.
5) In particular, DLF/Shaw Trust has the following legal bases for the processing of your personal data:
- For non-special / non-sensitive data:
- where it is necessary for the performance of any contract you may have with the DLF/Shaw Trust, or to take steps to enter into such a contract.
- where it is necessary for the purposes of DLF/Shaw Trust’s legitimate interests
- For special / sensitive data:
- where it is necessary for the purposes of DLF/Shaw Trust’s legitimate interests
In addition to the above bases, DLF/Shaw Trust may also process any of your personal data for other reasons where it has received your explicit, freely given consent, for example by ticking the consent [radio] button.
6) The information may be shared with third parties for administration and/or management purposes, where it is necessary or desirable and lawful for DLF/Shaw Trust to do so. However, DLF/Shaw Trust will share only the minimum information that is necessary. These providers will only act under our instruction and are subject to pre-contract scrutiny and contractual obligations containing strict data protection clauses.
7) DLF/Shaw Trust may, on occasion, decide to use the services of a supplier outside the European Economic Area (EEA), which means that your personal information is transferred, processed and stored outside the EEA. You should be aware that, in general, legal protection for personal information in countries outside the EEA may not be equivalent to the level of protection provided in the EEA.
However DLF/Shaw Trust will take steps to put in place suitable safeguards to protect your personal information when processed by the supplier such as entering into the European Commission approved standard contractual clauses. By submitting your personal information to us you agree to this transfer, storing or processing at a location outside the EEA.
8) The information will be retained for as long as is necessary pursuant to clauses 4 and 5 above and in accordance with clause 9 below. When the information is no longer required, it will be destroyed securely.
9) You have certain rights, which include:
- the right to obtain access to your personal data (what personal data of yours DLF/Shaw Trust holds)
- the right to have personal data rectified if it is inaccurate or incomplete
- the right to request the deletion or removal of personal data where we are not otherwise entitled to retain and process such data and there is no compelling reason for its continued processing
- the right to restrict or suppress the processing of your personal data, in certain circumstances. Further information is available upon request
- the right to withdraw consent at any time, where relevant
- the right to lodge a complaint with a supervisory authority (the Information Commissioner’s Office).
